Terms & conditions for Buyers

PLEASE READ THE TERMS AND CONDITIONS OF ACCEPTANCE CAREFULLY.
By accepting the offer to participate in the Workshop BUY LITHUANIA 2025, I agree to the terms set out in this document.

INTRODUCTION
The following Regulations are the general rules for participation in Buy Lithuania 2025, an international B2B Workshop organized by Lithuania Travel, the Lithuanian National Tourism Development Agency.

TERMS & CONDITIONS:

1. The official BUY LITHUANIA 2025 language is English.
2. To participate in the event, a Hosted Buyer must fulfill the following criteria
   2.1. A Hosted Buyer must belong to one of the following categories: Tour operator, Travel Agent/ Travel Advisor.
   2.2. A Hosted Buyer must be final decision makers, representing companies or agencies actively seeking for new business opportunities in Lithuania.
   2.3. A Hosted Buyer should be fluent in English.
   2.4. The company represented by the Hosted Buyer must maintain a website in English.
   2.5. The person registering for the event should not have attended a BUY LITHUANIA event in the last 2 years.
   2.6. Only one representative of each company can participate in the BUY LITHUANIA hosted Buyer Programme. Accompanying persons are not accepted. Any exceptions must be approved by the Organizer - Lithuania Travel.
   2. 7. Hosted Buyers are required to attend the full program of BUY LITHUANIA.
   
   
3. The Hosted Buyer Programme is fully hosted by Lithuania Travel. Participation as a BUY LITHUANIA Hosted Buyer includes following services:
   3.1. Complimentary economy flights from/to a European destination;
   3.2. Complimentary accommodation with breakfast during the whole stay (14 - 18 October 2025);
   3.3. Airport and local transfers within Vilnius in relation to the official programme;
   3.4. A Welcome reception for Hosted Buyers;
   3.5. Catering service according to the programme of the event;
   3.6. Post-tour programme: 15th October 2024 – Vilnius; 16th October 2025 – Trakai & Kaunas; 17-18th optional post-tour “SPAce for Wellness: Birštonas and Druskininkai experience”.
   3.7. The dedicated support of the BUY LITHUANIA team before, during and after the event.
   
   
4. As a condition of receiving complimentary services, Hosted Buyers will be required to:
   4.1. Attend all of their Hosted Buyer programme dates;
   4.2. Actively participate in all components of the Hosted Buyer programme;
   4.3. Pre-schedule appointments as outlined in the BUY LITHUANIA Hosted Buyer Programme itinerary;
   4.4. Participate in the Workshop BUY LITHUANIA event on 15th October 2025. Participation is mandatory;
   4.5. Conduct a minimum of twelve (12) pre-scheduled one-to-one 15-minute appointments on 15th October 2025.
   
   
5. The Organiser will not supply travel insurance for Hosted Buyers. Travel insurance must be in effect from the day of departure up to and including the day you arrive back at your home country.
6. Incidentals (eg: mini bar, telephone calls etc.) are the participant’s own responsibility.
7. Pre-tours participants must attend all the parts of the program, unless agreed otherwise. Lithuania Travel reserves the right to make changes in the itinerary or services whenever it deems necessary to the comfort, convenience, or safety of the participants, and to cancel FAM trip at any time.

9. The Hosted Buyers may cancel their participation in the BUY LITHUANIA Hosted Buyer programme without penalty on or before 19th September 2025, unless flight details have already been confirmed.
10. If cancellation has been received before 19th September 2025, but the flight ticket has already been issued, the Hosted Buyer shall cover flight tickets expenses.
11. Cancellations received starting from 20th September 2025 are subject to an administration fee such as flights and accommodation expenses.
12. Hosted Buyers who do not inform the Organiser of their cancellation and do not participate in the programme will be deemed a No Show. The following no show penalties will apply:
    A EUR 200 fee plus any cancellation charges incurred from confirmed itinerary arrangements such as flights and accommodation.
13. Cancellation of attendance fees, no show fees and flight cancellation fees shall be payable by the Hosted Buyer within 7 days of the closing date of BUY LITHUANIA.
14. The Organiser takes no responsibility for Hosted Buyers who miss their flights, for insolvency or failure to any airline company, for flight cancellation or delay, for delay or missing baggage, or excess baggage charges.
15. By “personal data” Lithuania Travel means information about participants which could identify them (such as name and contact details). Lithuania Travel uses personal data to complete and administer participant online reservation. Personal data will not be disclosed to third parties except third parties, who are reasonably involved in the Pre-tours.
16. Lithuania Travel reserves the right to take photographs and filming during the operation of any program or part thereof and to use them for promotional purposes during the program and thereafter.
